A QuickBooks file you can finally trust.
Cleanup is finite work with a defined end: bring the history into a state you can rely on, then keep it that way.
How it works
Find out what is actually wrong
Before anything is corrected, the file is assessed — which accounts have never reconciled, where the opening balances came from, what is sitting in Ask My Accountant, and how far back the problem goes.
Reconcile the history
Accounts are reconciled period by period back to the point where the numbers were last right. Undeposited funds, duplicate transactions, and unmatched deposits are the usual culprits.
Rebuild the chart of accounts
Accounts merged, renamed, and restructured so reports roll up properly — with direct costs separated from operating expense, which is the error that most often makes gross margin meaningless.
Close it and keep it closed
Periods are closed and locked, a close process is put in place, and the file stops drifting back to where it started.
Frequently asked
How long does a cleanup take?
It depends on how many months are affected, transaction volume, and how many accounts have never reconciled. The assessment comes first so the scope is known before work starts.
How much does it cost?
Cleanup is quoted separately from ongoing work as a one-time fee, after the file has been assessed.
How far back do you go?
Usually to the last point the books were reliable, or to the start of the current fiscal year at minimum. Further back if a lender, buyer, or auditor needs it.
Will our CPA need to amend anything?
Sometimes. If a cleanup changes a period already filed, that is a conversation for your CPA — we give them the corrected records and the explanation.
